Megazone Cloud's affiliate Megazone Soft announced on the 7th that it has established a digital workplace using Google's cloud-based collaboration platform, Google Workspace, for the shipping, port, and logistics IT company Cyberlogitec.

Google Workspace is the most popular productivity tool worldwide, with over 3 billion users and more than 10 million paid customers enhancing work efficiency and strengthening collaboration through its services.

The Google Workspace implementation project by Megazone Soft was carried out over approximately four months for five subsidiaries including Cyberlogitec's headquarters in South Korea, as well as offices in Vietnam, Singapore, the United States, and Spain. Through this, Megazone Soft integrated Cyberlogitec's fragmented work systems and data into Google Workspace and created a working environment that enables real-time collaboration and communication between the headquarters and overseas subsidiaries using collaboration tools such as Gmail, Google Drive, Google Calendar, and Google Chat.

In an internal survey conducted by Cyberlogitec after the project's completion, over 80% of employees responded that their work has become more efficient since the introduction of Google Workspace. Furthermore, it was found that all four major collaboration tools—Gmail, Google Drive, Google Calendar, and Google Chat—recorded over 90% usage rates.

Cyberlogitec's existing groupware was optimized for the domestic headquarters environment, making communication with overseas subsidiaries and external partners less effective. Additionally, the lack of enterprise-wide integration led to frequent use of external solutions by employees, resulting in security vulnerabilities during information sharing across platforms.

To address these issues, Megazone Soft successfully migrated approximately 14 million data records stored on the existing Document Centralization Server (DCS) to Google Drive, significantly improving data accessibility and management efficiency. Additionally, policies were implemented to block external sharing and allowed sharing only with trusted domains to enhance security.

Through Google Drive, file sharing between overseas subsidiaries and real-time collaboration features of Google Docs, Google Sheets, and Google Slides allowed team members to edit documents simultaneously, greatly increasing work efficiency. Google Calendar simplified schedule sharing and meeting coordination between teams, while Google Meet enabled smooth communication without time and location constraints through high-quality video conferencing. As a result, Gmail, Google Chat, and Google Drive are interconnected, leading to the integrated management of data and workflow, which further enhanced productivity.

The mail system was consolidated into Gmail, resolving the capacity limitation issues of the existing email system and simplifying management complexity. Furthermore, to enhance account management efficiency, Active Directory (AD) was integrated with Google Workspace. In this process, additional security measures such as multi-factor authentication were implemented to improve the account management system and data security.

Megazone Soft placed emphasis on systematic change management to not just facilitate technology transition but also to enhance the utilization of Google Workspace and support adaptation across departments. Various programs including champion workshops, user training, and online guides were implemented to ensure Cyberlogitec's successful adaptation to the new working environment.

Megazone Soft plans to evaluate and improve the effectiveness of Google Workspace continuously by establishing success criteria and goals related to usage rates, satisfaction, work efficiency and productivity, as well as enhanced collaboration and information sharing.

Additionally, Megazone Soft plans to maximize Cyberlogitec's work efficiency and support global business expansion by utilizing Google's generative AI model, Gemini. A proof of concept (PoC) is currently underway for one month, and plans for implementation in 2025 will be developed upon completion of the PoC.
